Swayogi Travels
At Swayogi Travels, we understand that travel plans can change. This Cancellation & Refund Policy explains the applicable cancellation charges and refund process for bookings made through Swayogi Travels.
By confirming a booking or making any payment, the customer confirms that they have read, understood and accepted the applicable terms and conditions.
1. Cancellation by Customer
All cancellation requests must be submitted to Swayogi Travels in writing through email or WhatsApp.
The cancellation date will be considered the date and time on which the written cancellation request is received by Swayogi Travels.
Unless different cancellation terms are specifically mentioned in the quotation or booking confirmation, the following general cancellation schedule will apply:

| 7 days or less | 100% of total package cost or actual applicable supplier charges, whichever is higher |
| No-show | 100% of total package cost or actual applicable supplier charges, whichever is higher |
Important: The above cancellation schedule is a general guideline. Actual cancellation charges may vary depending on the destination, travel dates, season and the cancellation policies of the airlines, hotels, transporters, cruise operators, activity providers and other suppliers involved in the booking.
2. Booking-Specific Cancellation Terms
Certain bookings may have separate or stricter cancellation conditions, including:
- Group bookings
- Honeymoon packages
- Customized or tailor-made tours
- Peak-season and festive-season bookings
- Cruise bookings
- Special-event bookings
- Non-refundable hotel rates
- Non-refundable flight fares
- Promotional or special-rate bookings
- Permits, activities and other pre-paid services
Where specific cancellation terms are mentioned in the quotation, invoice or booking confirmation, those terms will apply to that particular booking.
3. Third-Party Supplier Charges
Swayogi Travels may arrange services through third-party suppliers, including airlines, hotels, transport operators, cruise operators, activity providers, guides and other service providers.
Each supplier may have its own cancellation and refund conditions.
If the actual cancellation charges imposed by a supplier are higher than the general cancellation charges mentioned above, the actual supplier charges will apply.
Swayogi Travels will communicate the applicable charges and process any eligible refund in accordance with the applicable booking and supplier terms.
4. Advance & Booking Amount
An advance payment is required to confirm a booking.
Once a booking is confirmed, the advance may be used or committed towards hotels, flights, transportation, activities, permits and other travel services.
Therefore, the advance or booking amount may be partially or fully non-refundable where the corresponding service or supplier is non-refundable.
The applicable terms will be communicated to the customer as part of the booking confirmation.
5. Flight Cancellation
Flight bookings are subject to the applicable airline fare rules and cancellation conditions.
Any airline cancellation penalty, fare difference, airline fee, convenience fee, service charge or other applicable amount will be deducted from the eligible refund.
Non-refundable or restricted fares may have limited or no refund value, subject to the airline’s applicable rules.
6. Hotel Cancellation
Hotel bookings are subject to the cancellation policy of the respective hotel and rate plan.
Non-refundable hotel bookings will not normally be eligible for a refund unless the hotel or supplier subsequently authorises a refund.
Peak-season, festive-season, promotional, advance-purchase and special-event rates may carry stricter cancellation conditions.
7. No-Show & Unused Services
A No-Show occurs when a customer or traveller fails to report for a confirmed service without providing prior written cancellation.
No refund will normally be available for services that remain unused due to the customer’s failure to travel or report, including:
- Unused hotel nights
- Missed transfers
- Missed sightseeing
- Missed activities
- Unused meals or inclusions
- Missed flights
- Voluntary early departure
- Failure to report at the designated time or location
Any refund for unused services will be subject to the applicable supplier’s policy.
8. Rescheduling & Amendments
Requests to change travel dates, hotels, passenger details, transportation or itinerary after confirmation will be subject to availability and supplier approval.
Any applicable rescheduling charges, fare differences, hotel charges, supplier penalties, administrative charges or service charges will be payable by the customer.
Rescheduling is not guaranteed and will depend on the terms and availability of the respective suppliers.
9. Visa Rejection & Change of Travel Plans
Cancellation due to visa rejection, change of plans, personal reasons, medical reasons or inability to travel will be treated as a customer cancellation.
Applicable cancellation charges will therefore apply.
Visa fees, application fees, appointment charges, service charges and other third-party amounts already paid may be non-refundable.
10. Force Majeure & Unforeseen Circumstances
Where travel is affected by circumstances beyond the reasonable control of Swayogi Travels, including natural disasters, extreme weather, government restrictions, strikes, civil unrest, pandemics, operational disruptions or other force majeure events, any refund, credit or alternative arrangement will be subject to the amount and options made available by the respective suppliers.
Swayogi Travels will make reasonable efforts to assist the customer in obtaining the available refund, credit or alternative arrangement.
However, Swayogi Travels cannot guarantee a refund where the concerned supplier does not provide a refund or credit.
11. Refund Processing
Where a refund is approved, Swayogi Travels will process the eligible refundable amount after receiving or confirming the refundable amount from the respective supplier.
Refund processing may take up to 30–45 working days, depending on the airline, hotel, supplier, bank or payment gateway.
Applicable payment gateway charges, bank charges, transaction charges and other non-refundable third-party charges may be deducted where applicable.
12. Customer Information & Documentation
Customers are responsible for providing accurate passenger information, travel documents, contact details and other information required for their booking.
Any additional cost, penalty, cancellation charge or loss arising from incorrect or incomplete information, documentation or failure to meet applicable travel requirements may be payable by the customer.
13. Cancellation or Changes by Swayogi Travels
In exceptional circumstances where Swayogi Travels is unable to provide a confirmed service, Swayogi Travels will communicate the available options to the customer and provide the applicable refund, credit or alternative arrangement in accordance with the booking terms and amounts recoverable from the relevant suppliers.
Where a disruption is caused by circumstances beyond the reasonable control of Swayogi Travels, the available refund, credit or alternative arrangement will depend on the respective suppliers.
14. Final Terms
The cancellation policy applicable to a booking will be determined by the terms communicated to and accepted by the customer at the time of booking confirmation.
Where there is any difference between this general policy and the specific cancellation terms stated in the customer’s quotation, invoice or booking confirmation, the specific booking terms will prevail.
Swayogi Travels will apply the applicable supplier charges and booking terms transparently and will process eligible refunds in accordance with those terms.
